The Challenge
Before the AI agent, the path from interest to treatment ran through a manual, multi-step funnel. A guest filled out a “free consultation” form, a human lead-management agent tried to reach them by call, text, and email, and only then did an aesthetic consultant confirm clinical fit and book the treatment. Every handoff was another chance for the guest to drop out.
That created several compounding problems:

- An after-hours call that isn’t lost. A prospect calls once clinics have closed. Instead of reaching a dead end, the call is deflected to text, where the AI agent answers questions and captures the lead for the morning team to act on.
What changed after launch
The launch itself is part of the story. The first version leaned hard on collecting lead information and pushing prospects to self-schedule, and it converted at just 9.2%. Reading the analytics, the team pivoted to an education-first approach that let the AI agent inform and build trust before asking for the booking. Conversion rose to 11.1%, then to 12.6% as the team refined the booking flow, a climb that came from changing strategy, not just adding volume.
For human agents, routine pricing and treatment questions no longer land in the queue first. The AI agent handles them, and the leads it passes along already include everything the team needs to follow up, which removed the old cycle of chasing incomplete inquiries. As inquiry volume roughly doubled, from about 1,800 to 3,600 conversations a month, the team absorbed the growth without adding staff and spent its time on consultations and complex cases instead.
